Bump in and bump out
All exhibition stands are required to be set up by 7.30am on the day of the Expos. Your stand and products will be reviewed by the Healthy Kids team prior to the Expo opening at 9am.
ACT Healthy Kids Expo
Bump in: Currently scheduled for 2pm – 5pm, Monday 22nd May 2023. Exhibitors will also have access from 6:30am to 7.30am on Tuesday 23rd May.
Bump out Currently scheduled for 3pm – 4pm, Tuesday 23rd May. Exhibitors are not permitted to pack up their stands before 2.30pm.
NSW Healthy Kids Expo
Bump in: Currently scheduled for 3pm to 6pm, Monday 5th June 2023. Exhibitors will also have access from 6am to 7.30am on Tuesday 6th June 2023.
Bump out: Currently scheduled for 3pm – 4pm, Tuesday 6th June 2023. Exhibitors are not permitted to pack up their stands before 2.30pm.
Note bump in and bump out times are subject to change.
Conditions of entry
Food and drink products
Only food and drink products that are registered in the Healthy Kids Product Registration Scheme can be exhibited and promoted at the Healthy Kids Expo 2023, and must meet the school canteen guidelines in the state/territory where the Expo is occurring. This applies to both food and drink companies, and non-food and drink companies who intend to use foods and drinks as props or to promote their services.
Healthy Kids Product Registration is only valid while each product has the same specifications and packaging as when the products were registered, and Certificates of Registration were issued. Therefore, if any changes have or are going to occur to any product specifications or packaging before the Healthy Kids Expos 2023, Healthy Kids must be notified and changes must be reviewed at least two weeks prior to the event.
Promotional materials
All promotional materials that appear at the Healthy Kids Expos 2023 (e.g. flyers, brochures, product catalogues etc.) must be submitted to Healthy Kids Association for approval at least two weeks prior to the event. To ensure that your resources are approved, please ensure they meet these Conditions of Exhibiting and the Healthy Kids Advertising Guidelines 2023.
Failure to have all materials reviewed and approved by Healthy Kids prior to the Healthy Kids Expos 2023 will result in your company not being able to display or distribute these materials on the day.
Equipment and packaging
- No deep fryers
- No promotion of non-Healthy Kids Registered products or food/drink companies on equipment
- Incentives (e.g. games or the use of cartoon characters) can only be used in reference to Green/Everyday products
- When displaying/providing samples, ensure any serving materials used meet government guidelines around single-use plastic:
Payment of invoices
- All invoices must be paid within 14 days of issue and at least 45 days before the date of your selected Expo/s (no later than 7th April 2023 if exhibiting at ACT, no later than 21st April if exhibiting at NSW).
- Bookings are only secured once full payment has been received, and a cancellation policy applies.
- Exhibitor stand allocations are made in the order that payment is received. When floorplans are released, exhibitors will be given the opportunity to select their preferred placement based on the order that payment is received.
- Sponsor stand allocations are given priority based on sponsorship level. When floorplans are released, Sponsors will be given the opportunity to select their preferred placement.
Cancellation policy
Once an application has been submitted and an invoice has been issued, exhibitors and sponsors cannot cancel their bookings without payment of a cancellation fee as follows:
- Cancel before 7th March 2023: Cancellation fee of 25% of total invoice
- Cancel before 1st April 2023: Cancellation fee of 50% of total invoice
- Cancel before 21st April 2023: Cancellation fee of 75% of total invoice
- Cancel after 21st April 2023: Cancellation fee of 100% of total invoice
Booking cancellations must be made in writing to info@healthy-kids.com.au.
In the case of unforeseen circumstances resulting in postponement or cancellation of the event, a full refund will be given.
Food safety
All exhibitors who intend to provide food/drink samples at the Healthy Kids Expo 2023 must practice safe food handling. Check out the NSW Food Authority website for more information, in particular Guidelines for Food Businesses at Temporary Events.
Work Health & Safety
All exhibitors must comply with current Work Health and Safety Guidelines.
